SALARY:

 

$21.85 - $25.00 per hour. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose

Coordinate basic office functions, facilitate proctor training and scheduling, oversee testing-related scheduling for all academic programs, serve as liaison to the Colorado Director of Operations to reserve rooms for exam events, proctor exams as needed, collaborate with Disability Services Office to ensure proper testing accommodations, and provide back-up coverage for Office of Testing personnel to ensure consistent service and operational effectiveness.

Essential Job Functions

  • Serve as primary liaison between the Office of Testing and the Disability Services Office to ensure proper accommodation of students with disabilities in the testing environment.
  • Designs and implements services for hourly proctors such as orientation of new hires, scheduling, periodic and annual required training, and lead proctor assignments.
  • Communicate directly with students regarding accommodation schedules, changes in schedule, etc.
  • Track and monitor all Excused Absences for exam events; reserve facilities for regular and accommodated exam events, communicate with students for scheduling, prepare necessary paperwork, confirm proctor availability/assignment.
  • Collaborate with Disabilities Office to maintain a current and accurate accommodations spreadsheet, including additional accommodated needs; verify each student is accounted for and listed with the correct accommodation. Relay specific accommodation information to ADA proctor on exam day, make-up exam day and remediation exam day. Notify Disability Services office of behavioral events and accommodation mistakes which may occur during exam events.
  • Create, maintain, and update the shared Office of Testing calendar and semester-based proctor schedules. Notify the Office of Testing department leadership to resolve any schedule conflicts with the program leaders.
  • Enforce Office of Testing policies and procedures with professionalism and consistency.
  • Assist students with testing software or logistical problems across all programs and platforms.
  • Work collaboratively with the OOT Director, Assistant Director, Assessment Technologies Coordinators, and Testing Operations Manager in the development and administration of all quizzes and examinations.
  • Create and maintain all proctoring materials for exams and post-exam reviews (signage, supplies, schedules, and proctor instructions).
  • Create examination seating charts for incoming classes.
  • Order departmental supplies; monitor departmental supply needs.

Marginal Job Functions

  • Provide cross-coverage for inter-departmental administrative tasks when necessary.
  • Participate in relevant and appropriate community and professional outreach activities on behalf of the college and the university.
  • Other duties as assigned by supervisor.

Required Knowledge, Skills, and Abilities

  • Outstanding organizational and communication skills.
  • Demonstrate intermediate level or higher in computer skills, including Windows, Microsoft Word, Outlook, Excel, and PowerPoint.
  • Strong typing or data entry skills.
  • Ability to work with high level of confidential material with attention to detail.
  • Ability to multi-task and problem solve innovatively.
  • Ability to work effectively in a team-based environment.
  • Demonstrate effective time management skills and ability to meet deadlines.
  • Good internal customer service skills for working with both faculty and students.

Minimum Qualifications

  • High School Diploma or equivalent.
  • Ability to learn new software programs.
  • Advanced scheduling skills in Microsoft Outlook.

Preferred Qualifications

  • Some college or earned credential from an accredited institution.
  • Two (2)+ years of successful office management/administrative experience, including facilitating professional training, and complex scheduling.
  • Professional background in academic or technical environment.
  • Prior experience with a learning management system system or ExamSoft a plus.
  • English language skills, including grammar and proofreading.
