SALARY:

 

$21.85 - $25.00 per hour.  The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose

This position is primarily responsible for course and administrative coordination within the Doctor of Osteopathic Medicine(DO) Program at the Montana College of Osteopathic Medicine. The incumbent in this position will track student attendance and evaluations, assist with various software and video technologies, oversee course content, and provide necessary support to ensure success of courses, faculty and students in the program.

Essential Job Functions

  • Provides primary administrative coordination for courses within the DO Program. Coordinates with course directors to plan and execute a course in a timely fashion. This includes:
    • a. Creating and managing a course session tracker for each teaching session.
    • b. Setting up and managing system for faculty delivery of content.
    • c. Sending course faculty instructions and timelines for deliverables: session content and exam questions.
    • d. Managing the curricular content in the LMS for both remote video sessions as well as in-person sessions in a timely manner.
    • e. Interfacing with faculty and Office of Testing to make sure exam creation is complete and timely .
    • f. Handling all speaker agreements and logistics if guest speakers/faculty will be preparing and delivering sessions.
    • g. Managing course attendance tracking including excused absences, make-ups, etc.
    • h. Ensuring that post-course evaluation has been set up and scheduled.
    • i. Ensuring that Academic Calendar is accurate and timely.
    • j. Managing course evaluations.
  • Provides essential communication and networking for the effective functioning of the DO Program, interfacing with students, faculty, staff, and other departments.
  • Captures content from faculty to help write internal program reviews and write other reports as needed.
  • Provide logistical, technical, and administrative support as needed within the department.
  • Help build a culture that respects, values and promotes inclusive excellence.
  • Serve on committees or project groups as needed/invited.
  • Provide individualized student and faculty support as needed and appropriate.

Required Knowledge, Skills, and Abilities

  • Ability to communicate effectively and professionally (written and spoken) and work cooperatively in a team-based environment.
  • Ability to maintain strict confidentiality especially of legally protected data (student grades, etc).
  • Strong computer skills with working knowledge of Microsoft Office 360 Suite as well as video conferencing (e.g. Teams and Zoom).
  • Ability to work with a high level of attention to detail, organization and quality.
  • Ability to multi-task effectively, and to recognize and solve problems innovatively.
  • Ability to work with an eye towards continuous improvement.
  • Ability to learn and implement new software programs.
  • Effective time management skills and ability to meet deadlines.
  • Initiative and independence in carrying out job responsibilities.
  • Ability to keep a clean and well-organized working environment.

Minimum Qualifications

  • Associate’s degree from an accredited institution, a professional certificates or equivalent work experience.
  • Experience working in an administrative support role or in similar roles performing support functions and detail-oriented tasks in a fast paced and highly professional environment.
  • Experience working in various software programs.

Preferred Qualifications

  • BA or BS degree in related field from an accredited institution.
  • Advanced level of computer skills, specifically Microsoft 365 Suite.
  • Professional background or experience in education.
  • Previous experience successfully creating and/or modifying processes.
  • One (1) year of program and/or project management/coordinator.
  • Experience and ability to interact with leadership, faculty, students and administrators.
