SALARY:

 

$56,600 - $69,500+ per year, the posted salary range represents the minimum to the midpoint within RVU’s compensation plan. RVU’s full compensation structure provides a minimum to a maximum range.  The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to skill, knowledge, experience, education, and credentials.

Primary Purpose

Performs a variety of highly responsible, confidential and complex administrative duties for the Vice President for Inclusive Excellence (IE) and the Vice President of Marketing and Enrollment Management (M&EM). Attends meetings and prepares minutes and reports for the VP for IE and M&EM: maintains confidential and sensitive information.

Essential Job Functions

  • Exercises independent judgment in relieving the Vice Presidents of administrative details and proactively performs a wide variety of administrative services; screens visitors and phone calls.
  • Routes calls or answers questions and handles inquiries and requests for information as appropriate; maintains appointment calendar; makes travel and meeting reservations and arrangements for the Vice Presidents; reviews and/or coordinates mail and documents for signature; prepares budget and tracks expenses for the Vice Presidents; prepares surveys and reports as required.
  • Serves as confidential scribe; types, proofreads and processes a wide variety of complex and confidential reports, letters and memoranda; independently prepares correspondence or assigns to others as appropriate; types from rough draft or verbal instructions;
  • Supports the VP of M&EM in maintaining effective communication with the offices of Admissions, Marketing, Registrar, Alumni Relations and University staff. Attends and coordinates all details of the monthly RVU Enrollment Management Team Meeting, the Alumni Board Meeting and the quarterly IE Advisory Council
  • Schedule, attend, and take minutes for assigned meetings; Provide clerical support to include taking meeting minutes, producing correspondence, reproducing documents, filing, etc.
  • Coordinate and work collaboratively with the Executive Assistant to the President & CEO and Board Liaison and other Executive Assistants. Facilitate communication and coordination with other departments and campuses.
  • Maintains calendar for the Vice Presidents coordinates special events, such as community relations events as needed.
  • Interact with high-level executives, visitors, and students, providing direction and support on behalf of the Office for Inclusive Excellence and/or Marketing and Enrollment Management as needed.
  • Provide administrative support to the VP in the creation and management of all procedures and policies for collection and reporting of institutional data. Assists in the preparation of reports to assist VPs in analysis and evaluation of data, outcomes and metrics for strategic decision making.
  • Develops and maintains filing system for the VPs including confidential files; maintains records, locates files, documents and other information as necessary; researches and provides information on subjects as required; refers requests for specific information about technical or specialized matters to appropriate personnel.
  • Reviews and summarizes miscellaneous reports and documents; prepares background documents as necessary; researches and assists in the preparation of special reports and/or projects; compiles and inputs data; develops presentation materials utilizing a variety of software applications, including PowerPoint.
  • Support and create related administrative systems, processes and policies as needed.
  • Oversee and facilitate survey administration and data collection.
  • Maintain and monitor department budget and monthly purchasing card reconciliation.
  • Help build a culture that respects, values, and promotes diversity, equity, and inclusion.
  • Serves on University-wide committees and completes additional assignments as requested.

Required Knowledge, Skills, and Abilities

  • Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Expert-level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
  • Ability to tactfully and courteously respond to requests and inquiries from University staff, faculty, and the general public and to maintain a professional demeanor in all situations.
  • Ability to take responsibility and perform responsible and difficult administrative work utilizing judgment and initiative.

  • Ability to manage multiple, competing priorities and innovatively solve problems.
  • Ability to plan, organize and schedule office priorities.
  • Demonstrated time management skills and ability to meet deadlines.
  • Demonstrated advanced computer skills including the utilization of a variety of software programs, such as Windows, Microsoft Word, Excel, Access and Outlook.
  • Ability to independently prepare correspondence (or from oral and written instructions) in a clear and concise manner.
  • Attention to detail and quality of work is essential.
  • Ability to prepare and analyze documents, reports, presentations, and articles.

Minimum Qualifications

  • Bachelor's Degree from an accredited institution in a related field or equivalent experience in directly related areas may be considered.
  • Considerable increasingly responsible administrative experience, including experience in a corporate environment.
  • Any combination of training and experience that provides the necessary knowledge, skills and abilities may be qualifying.
  • Strong experience with computer software, specifically Microsoft Office Products (Word, Excel, Outlook, and PowerPoint) and Adobe Pro.

Preferred Qualifications

  • Professional background or experience in higher education.
  • Previous experience successfully creating and/or modifying processes.
  • Experience with a Board of Trustees or Board of Directors.
  • Experience working or interacting with individuals from diverse backgrounds.
